1. SCIENTIFIC PROGRAMS

There will be five lectures and about 15 short talks. Discussion is one of the major scientific activities at the Summer Institute. We have reserved one large seminar room (room No.3) and two small rooms (room No.1,2) which can be used for informal meetings and discussions.

2. PROCEEDINGS AND ACTIVITY REPORT

All participants are asked to write a short activity report in the enclosed form before they leave. We will also publish the proceedings, and kindly ask all the speakers to contribute to the proceedings. Details will be announced during the meeting.

3. TRANSPORTATION

The following is some information only for those who will arrive at the Narita International Airport and directly come to the Summer Institute. Please visit:

JR is an abbreviation of Japan Railway.

  1. Take a limited express train called "Narita Express" at the JR Narita airport station, which takes about 80 minutes to reach Shinjuku, Tokyo. The railway line is called "Soubu line". It is bound for Shinjuku or Ikebukuro.
  2. At the JR Shinjuku station you change to the "JR Chuo line", take a limited express to Otsuki and get off at the JR Otsuki station. The limited express is usually bound for Matsumoto, and it will take about one hour (to Otsuki).
  3. At the JR Otsuki station you change to the "Fuji-kyuko line" and get off at the Fuji-Yoshida station. This will take about half hours.
  4. Then take a taxi (about 1,500Yen) to:
    Nikkeiren Jinzai-Kaihatsu Center,
    Fuji-Kenshusho
    (Tel: 0555-22-5156)
which is the Japanese name of the conference location.

It will cost about 7,000 Yen altogether.

4. REGISTRATION

Registration will start on Thursday August 12 at 15:00 in the entrance lobby of the conference location. You will get among other things a key of your room and tickets for the meals.

5. CLIMATE AND CLOTHING

It is usually very humid and very hot in the summer in Japan. The temperature in August can easily rise to more than 30 Celsius. However, we will stay in Fuji-Yoshida. The altitude of Fuji-Yoshida is 750 m, so it will be slightly cooler. [The average temperature at the top of Mt. Fuji (3,776 m) in August is about 8 Celsius.]

6. COMPUTER AND NETWORK

  1. A PC for Japanese participants and a PC for foreigners are available. A Japanese OS is installed in the former and an English OS is in the latter. Both computers are connected to the network.
  2. No printer is available for participants.
  3. A network connector is available in every meeting room. In addition, a wireless network ( "FREESPOT") is available inside the building. In both cases, connection to the Internet is automatically managed by DHCP and is free of charge.
  4. Please care security problems by yourself, such as security update (eg. Windows Update) and proper settings for shared holder/drive, anti-virus soft, firewall and privacy in wireless network environment. Since our capacity is very limited, we will not support you on personal security problems. So we ask you to understand that you carry responsibility for your own PC as well as others on the network.

7. OFFICE

The office of the Summer Institute is located in the room No. 5. You may ask for public transportation, social programs etc. It is usually open from 8:00-9:00 and 13:00-14:00. If it is closed, please do not hesitate to ask the organizing committee.

8. COMMON ROOM

We will use the room No. 4 as the common room and offer coffee in the morning and afternoon. In front of this room we will post announcements on the schedules and changes of talks, social programs etc in the actual day. The latest abstracts of hep-ph, hep-lat and hep-th will be available in this room.

9. WELCOME

An informal welcome reception will be held on Thursday evening August 12 in the lobby.

10. BANQUET

We will hold a dinner party (barbecue with meats, fishes, vegetables) on Sunday evening August 15.

11. MEALS

All the meals will be served in the dinning room.

12. CANCELLATIONS

When you would like to cancel a meal, please notify the front desk clerk 24 hours in advance. You are asked to give your meal ticket to the clerk. Please also note that the room reservations are now final and can not be cancelled.

13. BATH

There are Japanese baths for women on the second floor and for men on the first floor. They are open from 6:00 to 9:00 and from 18:00 to 24:00. Showers can be used at any time. Baths and showers are free.

14. LAUNDRY

There exists a laundry at the conference location. It is located on the first floor, and is free for use, except for the gas drier.

15. CLOSING-TIME

Outside doors are locked at midnight. After midnight you can NOT enter the house.

16. TELEPHONE

In the entrance lobby there are public telephones. You can make international calls, too. Please DO NOT use the room telephone to make a call outside of the house.

17. EXCURSIONS

Monday August 16 is free day for excursions. Although no official excursion is planed, we expect some excursions will be spontaneously organized for the families and friends traveling with participants.

Here are useful informations:

A. Climbing Mt. Fuji

Mt. Fuji is 3,776 m high. The closest entrance is the Kawaguchi-ko entrance. We have to go to a parking area for the Kawaguchi-ko entrance (2,300 m) by a bus (or a texi). The path to the top is very steep, and it will take 5 ± 1 hours to reach the top. The average temperature in August at the top of Mt. Fuji is about 8 Celsius. If you would like to climb Mt. Fuji, please bring appropriate clothes and shoes with you. You should also prepare a hat, towel and anti-sunburn cream to cut off UV radiation. Details will be announced.

B. Other excursions

For those who do not climb Mt. Fuji, someone will plan to organize other excursions, for instance, to go to the lakes and/or caves around Mt.Fuji. Other useful information can be found at the registration.

We wish you a pleasant stay at the Summer Institute 2004, and we are looking forward to your active contribution to the meeting.

With kinds regards,
Morimitsu Tanimoto
Hideyuki Sawanaka (scientific secretary)
